Terms and conditions

Delegate updates on terms and conditions: the organisers reserve the right, from time to time, to inform delegates of any necessary changes in protocols or additional requirements relating to their safety and wellbeing in the lead up to or during the event: and which require acknowledgement and compliance from the delegate.

1. Payment Terms: on confirmation by the organisers, you will be issued an invoice by email and payment terms will be: 30% due within 4 weeks of issue, and the balance due 8 weeks prior to the event: 9th May 2024. Payment for bookings made after that date will be due in full within 14 days of issue and must be settled prior to the event dates.

Please note:
- For non-UK suppliers, UK VAT is not applicable. UK suppliers will be subject to UK VAT at the standard rate.
- If an early booking discount has been confirmed, the discount will be forfeited unless all payments are received by the due dates.

2. Travel insurance must be organised by delegates as it is not covered by the organisers: It is strongly advisable to purchase travel insurance against cancellation for health or other unforeseen circumstances, including the COVID-19 virus. With regard to the recent Covid-19 pandemic, it should be noted by all participants that The MEETINGS SPACE Ltd accepts no liability in respect of any illness arising in connection with Covid-19 or for any consequential costs or damages. Delegates must ensure that they are adequately insured for any and all consequential costs relating to the virus. This includes any requirement to quarantine in the destination or in their country of origin on return.

3. Visa and pre-travel documentation: before travelling to the forum, please note that all delegates are responsible for checking and implementing all travel advice and requirements which are applicable for the host destinations and for any countries that delegates may transit through.

4. ORGANISER CANCELLATION POLICY: Should the organiser cancel the forum, either as a consequence of force majeure or for any other reason, then all payments made to the organisers in respect of the forum will be credited towards a future forum within the following 12 months.

ORGANISERS RESCHEDULE POLICY: The organisers reserve the right to reschedule a forum, either as a consequence of force majeure or for any other reason, for a date they consider appropriate for the sector. Should the forum be rescheduled, the terms and conditions of the contracts for all booked delegates will automatically transfer to the rescheduled dates.

Note: The organiser shall not be liable for any consequential damages incurred due to the cancellation or rescheduling of a forum.

5. SUPPLIER CANCELLATION POLICY: Signature of the registration form commits you to 100% of the fees and to all terms and conditions, in the event of your booking registration being confirmed by the organisers.

Force majeure applicable to all forums: should the confirmed supplier delegate be unable to travel to the forum as a result of an official governmental restriction, (e.g. local or national lockdown, boarders shutdown) then on written verification, your company’s registration and any pre-paid fees, will exceptionally be transferred to a future forum of the delegate’s choice within the following 12 months. Subject to organiser approval and confirmation. The organiser shall not be liable for any consequential damages incurred due to the cancellation.

6. Your Health & Safety: The health and safety of our participants remain our priority at all times. To ensure our participants are protected wherever possible, The MEETINGS SPACE Ltd will ensure that all relevant risk analyses and health and safety precautions are agreed with and actioned by all partners involved, with reference to the prevalent advice and guidelines from both the UK events industry and relevant governments. A current detailed plan will be available from the organisers on request.

7. Promotional materials: The MEETINGS SPACE plans to take photographs and video material during the forum and to reproduce them in event news or promotional material, whether in print, electronic or other media, including The MEETINGS SPACE website and social media platforms. By participating at the forum, you grant the organisers and its partnering suppliers the right to use your professional biography, your company logo and any photography or video taken during the forum for promotional purposes. All postings become the property of The MEETINGS SPACE and may be displayed, distributed, or used for such purpose.

8. Data protection note: By entering your details requested in the registration form, and submitting your registration, you agree to allow the organisers to share your submitted information with participating delegates and sponsors. Distribution to delegates may be electronic or published. Your company name and logo may appear on the forum websites, promotional material or social media platforms. Your contact details or business information will not be accessible except to registered delegates for The MEETINGS SPACE forums. This is a condition of attendance. Should you not agree to this for any reason please write to Supplier Team, The MEETINGS SPACE, 2 Wilmot Place, London, NW1 9JS at least six weeks prior to the forum date.
